Individual-account privacy with law-enforcement safeguards

JustifiedReports is built for individual law-enforcement users. Product analytics are designed to focus on operational metadata, while the Service uses third-party cloud and AI infrastructure to process content users intentionally submit. Do not upload information that law or agency policy prohibits from being processed by third-party cloud or AI services.

1. Scope and Service

This Privacy Policy explains how JustifiedForce, LLC handles information in connection with JustifiedReports, an AI-assisted professional-development service designed for individual law-enforcement users.

JustifiedReports is not an official records-management, evidence-management, CJIS/NCIC, dispatch, or case-management system unless JustifiedForce expressly documents otherwise for a specific deployment. Users should not submit information that law or agency policy prohibits from being sent to third-party cloud or AI services.

2. Information You Provide

We collect information you provide directly, such as your name, email address, selected state, department or agency information you choose to provide, rank or role, age range, years of law-enforcement experience, account preferences, support requests, referrals, agreement acknowledgments, billing selections, and voice or dictation content you intentionally submit through microphone-enabled features.

We process report drafts, coaching inputs, Learning Debrief content, quiz and scenario responses, Tutorial AI interactions, and documents that you choose to submit for AI-assisted processing or Knowledge Vault storage.

Do not include passwords, API keys, full payment-card numbers, Social Security numbers, CJIS/CJI, NCIC-restricted data, protected health information, sealed records, highly sensitive juvenile information, confidential intelligence, privileged information, or other restricted information unless you are legally authorized and the Service has been specifically approved for that category of data.

3. Account, Device, Session, and Technical Information

We collect or generate account and security information such as user identifiers, authentication status, timestamps, IP address and user-agent information where available, agreement-acceptance device information, active-device/session identifiers, security events, error logs, and technical data reasonably needed to authenticate users, enforce the one-active-device rule, prevent abuse, diagnose problems, and secure the Service.

The Service uses browser storage and similar technologies for authentication/session continuity, preferences, tutorial completion state, device/session controls, and other functionality. These technologies are not used to sell your personal information or for cross-context behavioral advertising.

4. Usage and Product Analytics

We collect operational and usage information such as report-generation counts, debrief activity, AI Coach usage, quiz activity, feature-use timestamps, active days, Knowledge Vault document and storage totals, tutorial opens and completions, Tutorial AI question categories, agreement acceptances, support-ticket activity, subscription status, and system-health information.

Owner User Analytics is designed to use counts, timestamps, profile/demographic fields, and storage metadata rather than the substantive body of private report narratives, coaching conversations, or personal Knowledge Vault documents. Tutorial analytics stores categorized help topics rather than the raw text of Tutorial AI questions for analytics purposes.

We use operational and aggregate analytics to administer accounts, understand feature adoption, improve usability, diagnose failures, plan capacity, detect abuse, support customers, and evaluate product reliability.

5. Billing Information

We collect subscription choices, billing-cycle information, agreement records, Stripe customer/subscription identifiers, transaction status, tax-related checkout information returned by the payment provider where applicable, and related audit information needed to administer subscriptions and resolve billing questions. Product-activity counts may also be retained for analytics, security, reliability, and customer-support purposes, but the current subscription model does not impose per-report charges.

Payment-card information is collected and processed by Stripe or, if applicable in the future, an app-store payment provider. JustifiedReports does not store full payment-card numbers.

6. How We Use Information

We use information to authenticate users; provide AI-assisted report review, coaching, debrief, quiz, scenario, tutorial, voice/transcription, and Knowledge Vault functions; match National, Federal Circuit, and State Global Knowledge to the user's selected state; administer subscriptions and billing; send transactional and support communications; enforce account/session controls; secure and troubleshoot the Service; respond to users; and comply with law.

We may use de-identified, aggregated, or operational information to understand product performance and improve the Service. We do not use a promise of de-identification to claim information is anonymous when it could reasonably be linked back to an individual.

7. AI Processing

Content you submit to AI-enabled functions may be transmitted to third-party AI service providers or model infrastructure used by JustifiedReports to generate analyses, summaries, coaching, quizzes, tutorials, or other output. Providers may change as the Service evolves.

AI output may be inaccurate, incomplete, outdated, biased, misleading, or inappropriate. You must independently review and verify generated information. JustifiedReports is not legal advice, supervisory approval, or a substitute for professional judgment.

Information sent to the Service should not be assumed to be protected by attorney-client privilege, work-product protection, or another professional privilege merely because it is submitted to an AI system.

8. Cloud Storage, Hosting, and Other Service Providers

We use third-party service providers to operate JustifiedReports, including providers for application infrastructure and authentication, cloud storage, payment processing, email delivery, analytics, monitoring, and artificial-intelligence processing. Service providers may process information only as reasonably necessary to perform services for us or as otherwise permitted by law and their applicable agreements.

Provider names and technical architecture may change. Material changes affecting how personal information is used or disclosed may be reflected in an updated Privacy Policy or other notice when required.

9. Personal Knowledge Vault and Global Knowledge

Your personal Knowledge Vault is associated with your individual account. Ordinary users cannot browse another user's personal Knowledge Vault through normal application access. Source files and extracted text may be stored in cloud infrastructure so they can be retrieved for authorized functions.

Owner-managed Global Knowledge is separate from personal Knowledge Vault content. National materials may be supplied to every user's AI context; Federal Circuit and State materials are selected according to the state associated with the user's account.

You are responsible for ensuring you have the right to upload and process each document and for complying with applicable agency records, confidentiality, security, and retention requirements.

10. Owner and Authorized Administrative Access

The Owner Portal may display user identity/contact information, state and profile/demographic fields, subscription and billing status, aggregate feature activity, active days, Knowledge Vault counts/storage totals, tutorial/help analytics, support tickets, agreement records, security-role information, and system-health data.

Platform-wide Owner analytics and search tools are designed not to expose the substantive body of a user's private report narratives, coaching conversations, or personal Knowledge Vault documents. Authorized JustifiedForce personnel and service providers may nevertheless access or process information when reasonably necessary to provide requested support, investigate security or abuse, operate or repair the Service, enforce agreements, comply with lawful process, or protect rights and safety.

11. When We Disclose Information

We disclose information to service providers as needed to operate, secure, support, and bill for the Service. We may also disclose information when required by subpoena, court order, warrant, other lawful process, or applicable law, or when reasonably necessary to investigate fraud or abuse or protect the rights, security, or safety of JustifiedForce, users, or others.

We do not sell personal information or personal Knowledge Vault documents to advertisers. We do not share personal information for cross-context behavioral advertising. If our practices materially change, we will update this Policy and provide any choice required by law.

If JustifiedForce is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction subject to applicable law and appropriate protections.

12. Law-Enforcement Records, Discovery, and Legal Process

Depending on the facts and jurisdiction, law-enforcement-related inputs, AI conversations, drafts, debriefs, generated material, and stored documents may be subject to agency retention rules, discovery, subpoenas, public-records laws, litigation holds, evidentiary obligations, Brady/Giglio duties, employment or disciplinary processes, or other legal requirements.

JustifiedForce does not decide whether a particular item is an official record, discoverable, privileged, exculpatory, impeachment material, or subject to preservation. Users and their agencies are responsible for those determinations and obligations. Deleting information from JustifiedReports does not eliminate an independent legal duty to preserve or disclose it.

13. Data Security

We use authentication controls, role restrictions, encrypted network transport, encrypted cloud storage where configured, access controls, security scanning, and other safeguards designed to protect the Service. We also use a one-active-device control for ordinary user accounts to reduce credential sharing and unauthorized simultaneous access.

No internet-connected service can guarantee absolute security, confidentiality, availability, or prevention of every attack. Users must protect passwords and devices, use secure networks, promptly report suspected unauthorized access, and avoid submitting data that is inappropriate for the Service.

If a security incident triggers a legal notification obligation, we will provide notices required by applicable law.

14. Retention and Deletion

Users may delete supported categories of personal work, including Knowledge Vault documents and Learning Debriefs, through available controls and may request or initiate account deletion through the Service. Deletion is subject to records we reasonably need to retain for billing, fraud prevention, security, agreement evidence, support, legal compliance, dispute resolution, or audit purposes.

Deleted information may persist temporarily in routine backups, logs, caches, or provider systems to the extent technically necessary and permitted by law. We do not promise that user deletion overrides a legal hold, preservation duty, or other lawful retention requirement.

We seek to retain personal information only as long as reasonably necessary for the purposes described in this Policy, our legitimate operational needs, and applicable legal obligations.

15. U.S. State Privacy Rights

Depending on your state of residence and whether an applicable privacy law covers JustifiedForce, you may have rights to request access to, correction of, or deletion of certain personal information, to obtain a portable copy, or to appeal a privacy-request decision. Some information may be exempt or retained where permitted by law.

JustifiedForce does not sell personal information or use it for cross-context behavioral advertising. You may submit an applicable privacy request to info@justifiedforce.com. We may need to verify your identity before acting on a request and may ask for information reasonably necessary to prevent unauthorized disclosure or deletion.

16. Children's Privacy and Geographic Scope

JustifiedReports is not directed to children under 18, and we do not knowingly offer individual accounts to children. If we learn that a child has provided personal information through an account not lawfully authorized, we may remove the information and account as appropriate.

The Service is presently designed primarily for United States law-enforcement users. Use from another jurisdiction may create additional legal requirements, and users remain responsible for determining whether access and data transfer are lawful in their location.

17. Changes and Contact

We may update this Privacy Policy as the Service, providers, law, or data practices change. Material changes may be communicated in the Service, by email, or through renewed acceptance where appropriate. The effective date identifies the current version.
